Cancellation Policy:

Cancellations and requests for refunds will be accepted against 50 % cancellation fee until August 8, 2021. For cancellations after this date we will withhold 100% cancellation fee for purchased tickets. Transfer of tickets to other participants will be accepted.

Participant registration:

We process contact data that you provide during the registration process for the purpose of managing participants. Your personal data will always be processed only to the extent necessary to fulfill the respective purpose. If at all, we also only pass on your data to fulfill a purpose underlying the processing.

In order to carry out your registration, we use the contract processor pretix, a service provided by rami.io Software development, Raphael Michel, Markgräfler Straße 16, 69126 Heidelberg, Germany. Part of this is our ticket shop which is included through a JavaScript widget. If you try to purchase a ticket, pretix will use cookies to make your purchase process possible and to remember which tickets are in your cart. This cookie will only be set once you start interacting with the pretix widget. pretix does not store any IP addresses, browser information or other unnecessary meta data beyond the timeframe of your transaction. Information for authors of accepted papers

Authors of accepted papers are required to provide prerecorded videos of their paper presentation (1 video per accepted paper). Each video will be checked by our conference board and then uploaded on YouTube as a private link. After their presentation during a Hopin session, videos will be published on YouTube and remain available there. In case authors do not wish publication of their videos after the conference/session, please indicate that in the “Presenter Consent Form (sent to authors via email). We will delete these videos after the conference/session, or as soon as we receive your request for deletion at ares@sba-research.org. 

Payment service provider:

The "Mollie" service is integrated into the ticket store for the processing of payments. This is an independent data controller who collects your data within the scope of payment processing. When making a payment in the Ticket Shop, you can decide whether you want to use this service. If you do not wish to do so, payment can also be made by bank transfer. Virtual hosting of conference sessions:

Virtual hosting of conference sessions will take place in Zoom (https://zoom.us)

Attending the virtual conference does not require a zoom account and can be accessed with the link provided 1 week before the conference. SBA Research will not forward or provide any participant personal data information to Zoom.

The ARES & CD-MAKE 2021 conference takes place exclusively virtually. The conference sessions will be held online. You will receive the access information 1 week before the conference

Photography, Audio and Video Recording Release:

Video footage and/or screenshots/photos will be taken during ARES & CD-MAKE 2021 conference, which may or may not include your recognizable image. Please be advised that by taking part in this event you grant SBA Research the full rights to use the images resulting from the photography/video filming, and any reproductions or adaptations of the images in print, digital or web -based formats for promotional, sponsoring and archival purposes. this might include (but is not limited to ), the right to use them in their printed and online publicity, social media, press releases and funding applications. If you do not wish to have us use your image, please notify the event organizer prior to the event or ad hoc.
