Terms and Conditions - Reutlingen Student Surf Camp
Organizer and Scope
The Student Council of Reutlingen University (AStA) acts as the organizer and booking agent for this surf camp event. The actual travel services (e.g., accommodation, surf lessons, transfers) are provided by an external tour operator. The contractual partner for the travel services is the tour operator Action Sports Travel GmbH.
The tour operator’s General Terms and Conditions (ARB) and liability provisions apply in addition to these terms. See: General Terms and Conditions – Wavetours
Cancellation and Refunds
Cancellation Policy:
For cancellation fees, see the tour operator’s ARB.
Travel interruption insurance (cancellation insurance + vacation guarantee) is purchased for each participant to cover illness and emergencies.
Ticket Transfer:
The ticket cannot be transferred to another person.
Right of Withdrawal:
There is no statutory right of withdrawal under the Distance Selling Act (Section 312(2)(9) of the German Civil Code), as this is a service in the field of leisure activities that is provided at a specific time.
Terms and Conditions of Participation and Required Documents
Required Documents (Stay Abroad):
Since the trip involves travel abroad, participants are required to carry the following original documents:
- Valid identification document (EU citizens: ID card or passport)
- Valid health insurance card (EHIC)
Each participant is personally responsible for carrying the appropriate valid travel documents (passport, ID card, residence permit) and for complying with applicable passport, visa, and health regulations; any disadvantages resulting from non-compliance with these regulations (e.g., denied entry, additional costs) shall be borne by the participant.
Rules of Conduct:
- Punctuality: Arriving on time for the agreed departure and return times is mandatory. In case of delay, there is no entitlement to alternative transportation or a refund.
- House Rules: The staff and student body representatives have authority over the premises throughout the entire event and are authorized to issue instructions. Instructions must be followed.
- Weapons, dangerous objects, and illegal substances of any kind are prohibited.
- Interaction with other participants and staff must always be respectful.
Liability and Risks
Personal Responsibility and Insurance:
Participation is expressly at your own risk. Each participant is personally responsible for obtaining coverage through international travel health insurance as well as accident and liability insurance (which covers water sports risks abroad).
Organizer’s Liability:
The Student Council is liable only in cases of gross negligence or willful misconduct.
Cancellation, Program Changes, and Photos
Cancellation of the Event:
The event will take place only if a minimum of 16 participants register. If the event is canceled by the organizer, the ticket price will be fully refunded. No liability exists for individual travel arrangements already booked or any other costs.
Program Changes:
Minor changes to the program or departure time do not entitle participants to a free cancellation. In the event of significant changes, a mutually agreeable solution will be sought.
Photography and Videography:
Photos and videos will be taken during the event for documentation purposes. By registering, participants consent to being photographed and to the use of such material—without restriction as to time, location, or content—for the Student Body’s public relations activities.
Final Provisions
Place of Jurisdiction:
The place of jurisdiction for all disputes arising from this contractual relationship is Reutlingen.
Severability Clause:
Should any provision of these Terms and Conditions be or become invalid or unenforceable, the validity of the remaining provisions shall remain unaffected.
